"Stock management" sounds like software-speak for a spreadsheet, but for a used
dealer it's the discipline that decides your margin: what you bought a car for,
what it's costing you to hold, and how quickly it moves. Here's what it covers
and the numbers worth watching.
The lifecycle, end to end
- Intake. Plate lookup fills the spec; you add price, photos and the
purchase cost. If intake takes an evening, cars sit unadvertised — the most
expensive kind of stock there is.
- On sale. The car appears on your site and your feeds the moment you
publish, with consistent photos and an honest price.
- While it sits. Every day on the forecourt costs money — funding, prep,
depreciation. You want days-on-stock visible per car, not discovered at
year-end.
- Sold. Record the sale price and date, release the advert everywhere at
once, and keep the history for your accountant.
The three numbers that matter
- Days on forecourt — your stale-stock alarm. Anything past 60 days needs a
price move or a reason.
- All-in cost per car — purchase plus prep plus recon. Margin is a fiction
until this is recorded against the vehicle, not in someone's head.
- Margin per unit, after everything — including what you made on
add-ons and upgrades, which is often
the difference between a thin deal and a good one.
One system or three?
The failure mode is fragmentation: stock in a spreadsheet, adverts re-typed into
the classifieds, costs in the accountant's inbox. Every re-type is an error and
a delay. Whether you use a full DMS or something lighter, the test is simple:
enter the car once, and everything else follows. (How to choose the
software.)
